This Privacy Policy outlines how we collect, use, disclose, and protect your personal information when you visit our website, interact with our services, and engage in any transactions with us. We are committed to ensuring the privacy and security of your personal information. Please read this Privacy Policy carefully to understand our practices regarding your information.

1. Information We Collect

1.1 Personal Information. We may collect personal information that you provide to us voluntarily, such as your name, email address, phone number, mailing address, and any other information you provide when you contact us, register for an account, or make a purchase.

1.2 Usage Information. We may collect certain information about your use of our website, such as your IP address, browser type, operating system, and the pages you visit. This information is collected through the use of cookies, web beacons, and similar technologies.

1.3 Customer and Vehicle Records. When you engage us for work on a vehicle, we create and maintain records in the ordinary course of business. These may include your contact details, a description of your vehicle, inspection findings, estimates and the work items they contain, scheduling notes, invoices, payments, and notes recorded by our staff about our communications with you.

1.4 Time and Labor Records. We maintain records of the time our technicians spend on each job, which are associated with the vehicle worked on.

1.5 Sensitive Information We Do Not Collect in Our Analytics Systems. The internal systems described in Section 4 do not receive, store, or expose:

  • Payment card numbers, card verification values (CVV/CVC), or expiration dates;
  • Bank account numbers, routing numbers, or ACH instructions;
  • Tax identification numbers, including Social Security Numbers and Employer Identification Numbers;
  • Driver’s license numbers, passport numbers, or other government-issued identification numbers;
  • Dates of birth.

Where payment is processed, it is handled by our payment providers under their own terms; we do not retain full card or bank details in the systems described in Section 4.

2. Use of Information

2.1 Provide Services. We may use your personal information to provide the services you request, including processing your orders, responding to your inquiries, and delivering relevant information about our products and services.

2.2 Improve User Experience. We may use the information we collect to enhance and personalize your experience on our website, improve our services, and develop new features and offerings.

2.3 Marketing Communications. With your consent, we may use your contact information to send you promotional emails, newsletters, and other marketing communications about our products, services, and special offers. You can opt out of these communications at any time.

2.4 Legal Compliance. We may use and disclose your information as required or permitted by applicable laws and regulations, including responding to legal requests and protecting our rights and the rights of others.

2.5 Business Operations. We use customer, vehicle, job, and labor records to schedule and cost work, plan shop capacity, review the accuracy of our estimates, and manage our business.

3. Sharing of Information

3.1 Service Providers. We may share your personal information with trusted third-party service providers who assist us in operating our website, conducting business activities, and delivering services to you. These service providers are contractually obligated to protect your information and use it solely for the purposes specified by us. The providers involved in our internal business systems are identified in Section 4.3.

3.2 Business Transfers. In the event of a merger, acquisition, or sale of all or a portion of our assets, your personal information may be transferred as part of the transaction. We will notify you of any such change in ownership or control of your personal information.

3.3 Legal Requirements. We may disclose your personal information if required to do so by law or in good faith belief that such action is necessary to comply with legal obligations, protect and defend our rights or property, prevent fraud, or protect the personal safety of our users or the public.

3.4 We Do Not Sell Your Information. We do not sell or rent your personal information. We do not use your information to train publicly available artificial intelligence models.

4. Internal Business Systems

We operate an internal tool called C4 Argus that helps our staff answer questions about our own operations — what work is in the shop, what has been quoted, how jobs are progressing, and how our time is being spent. It is used only by authorized C4 Hot Rods personnel and is not available to the public or to any customer.

4.1 What it reads. C4 Argus reads business records from three systems we already use:

  • Intuit QuickBooks Online — customer records, estimates, invoices, and payments;
  • Google Drive — vehicle estimate documents, inspection documents, and our customer contact list;
  • Time Tracker by eBillity — technician time entries.

4.2 It only reads. C4 Argus cannot create, change, or delete any record in QuickBooks Online, Google Drive, or Time Tracker. It reads from those systems and stores its own interpretation of what it read.

4.4 Artificial intelligence. Our staff interact with C4 Argus through Claude, an AI assistant provided by Anthropic. When a staff member asks a question, that question and the business records returned in answer are transmitted to and processed by Anthropic in order to produce a response. This processing is governed by Anthropic’s applicable terms. We do not permit this information to be used to train publicly available AI models.

4.5 Where information is stored. Information held by C4 Argus is stored in Cloudflare infrastructure in the United States.

5. Data Retention

We retain personal information only for as long as it is needed for the purposes described in this Policy, or as required by law:

  • Customer and vehicle records are retained for the duration of our relationship with you and afterwards as needed for warranty, tax, accounting, and legal purposes.
  • Copies of business records used by the system described in Section 4 are retained for [INSERT RETENTION PERIOD]. These copies are kept because our source documents are edited in place, so retained copies are the only record of how a job looked at an earlier point in time..

When information is no longer needed and is not subject to a legal hold, it is deleted.

6. Data Security

We implement reasonable security measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction. For the internal system described in Section 4, these include:

  • Encryption of information in transit (HTTPS/TLS) and at rest;
  • Access restricted to authorized personnel and gated by a high-entropy credential;
  • Read-only access to our source systems, so the tool cannot alter our records;
  • Credentials stored as encrypted platform secrets, never in source code;
  • Operational logging for security review.

However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee the absolute security of your information. We will notify affected individuals and regulators of a security incident as required by applicable law.

7. Your Rights and Choices

7.1 Access and Update. You have the right to access, update, and correct your personal information held by us. You can do so by logging into your account or contacting us directly using the details in Section 10.

7.2 Opt-Out. You can opt out of receiving marketing communications from us by following the instructions provided in our emails or by contacting us directly. Please note that even if you opt out, we may still send you non-promotional communications related to your transactions or our ongoing business relationship.

7.3 Deletion. You may request deletion of your personal information. We may retain information where we have a legal obligation or a legitimate business need to do so, such as completed transaction records required for tax or accounting purposes.

7.4 Colorado Residents. If you are a Colorado resident, the Colorado Privacy Act gives you the right to confirm whether we process your personal data, to access it, to correct it, to delete it, to obtain a portable copy, and to opt out of targeted advertising or the sale of personal data. We do not sell personal data. To exercise any of these rights, contact us using the details in Section 10. You may appeal a decision by replying to our response.

8. QuickBooks Online

Our access to QuickBooks Online is authorized once by a C4 Hot Rods administrator and may be revoked at any time. That access is read-only: we do not create, modify, or delete QuickBooks records through this connection. Intuit’s own terms, including the Intuit Privacy Statement, govern the QuickBooks Online platform itself.

If the connection is disconnected, C4 Argus stops retrieving QuickBooks data, and previously retrieved copies are deleted in accordance with Section 5 or upon request.

9. Children’s Privacy

Our website and services are not directed to individuals under the age of 16. We do not knowingly collect personal information from children. If you believe we may have collected information from a child, please contact us, and we will promptly delete it.

10. Updates to This Policy and Contact Information

We may update this Policy from time to time. Material changes will be posted at this same address, and the “Last Updated” date above will be revised.
